Clock-ins in,hours by pay type out.

Plana splits the month’s clock-ins into hours by pay type, and each employee gets a printable hours breakdown.

For a MaRa employee there are 12 pay types, for example work hours, evening, night and Sunday supplements, additional work and overtime at 50 % and 100 %.

When to use it

When the month is over, the owner has to work out for each employee how many hours were evening, night, Sunday and public holiday.

How it works

  1. Open Payroll and export

    The link is on the right of the tab row on the Hours page. The page shows one month at a time, from the selected location’s clock-ins.

  2. See hours by pay type

    Each employee has a row with paid hours. It opens into pay-type rows, for example work hours, supplements, additional work and overtime.

  3. See gross pay and the net estimate

    Gross pay is shown in Plus, and the net estimate from the tax card in Pro.

  4. Open Hours breakdown

    The Hours breakdown lists one employee’s hours day by day. You can print it or save it as a PDF.

By hand and with Plana

By hand

  • You split every clock-in into evening, night, Sunday and public holiday yourself, including shifts that run past midnight.

  • You work out the three-week period’s additional work and overtime by hand from the 112.5 and 120-hour limits.

  • You put the hours together for the accountant separately.

With Plana

  • A shift that runs past midnight is split at Helsinki midnight, and each part gets its own day: Sunday, public holiday or eve.

  • Additional work and overtime are worked out per three-week period, and a period is settled in the month it ends.

  • The same calculation feeds the Procountor file, the accountant connection and the labour cost in Reports.

Example: the same closing shift on a weekday and on a Sunday

A closing shift from 16:00 to 24:00 lasts 8 hours, and 6 of them fall in the evening supplement time. The hourly pay of 13.50 € is an example value, not a figure from the TES table.

  • Sunday and public holiday work is paid at base pay plus the evening and night supplements, raised by 100 %. The days are Sunday, other church holidays, May Day and Independence Day. A day that is both a Sunday and a holiday is counted once.

  • On a Sunday or public holiday the evening supplement is 2.80 €/h and the night supplement 4.74 €/h.

  • The evening supplement is paid for hours worked 18:00–24:00, at 1.40 €/h from the pay period beginning on or next after 1 June 2026 (same as the 1 Sept 2025 table). Hours that fall on a Sunday or public holiday are taken out of this.

  • The night supplement is paid for hours worked 24:00–06:00, at 2.37 €/h from the pay period beginning on or next after 1 June 2026 (same as the 1 Sept 2025 table).

  • In a three-week period, work above the contract hours up to 120 hours is additional work, paid at base pay. It needs the employee’s consent. For hourly-paid employees it is already in base pay and isn’t paid separately.

  • After 120 hours, the next 18 hours are paid with a 50 % increase and after that 100 %. Overtime also needs the employee’s consent.

  • For a full-time monthly-paid employee in a balancing period, the period limit is 130 hours, or 136 under a local agreement. After it, 7.5 hours are paid at the single rate, the next 18 hours with 50 % and the rest with 100 % added.

  • A three-week period is settled in the month it ends, and only once. Compensation for additional work and overtime is paid by the 10th of the following month at the latest.

  • Hourly pay is monthly pay divided by 159. It is the divisor for the conversion, not an overtime threshold.

  • If a monthly-paid employee isn’t on pay for the whole month, the monthly pay is divided by 21 and multiplied by the rostered working days and balancing and annual days off in the paid period.

  • Withholding tax follows the percentage on the tax card valid on the payday. The employee’s share of TyEL and unemployment insurance uses the rates of the pay year and the age in the pay month.

Who uses it

Owner
Opens Payroll and export from the Hours page, sees each person’s hours, gross pay (Plus) and net estimate (Pro), and exports the Procountor file.
Manager
Same as the owner, as long as the role keeps the right to see pay.
Employee
Doesn’t see the Payroll page. My work times on the phone shows their own clock-ins and period hours, not split by pay type. They fill in the tax card themselves.
Accountant
The accountant account’s top bar has Payroll and Reports. The amounts they see follow the subscribed plan.

What it doesn’t do

  • It doesn’t produce an official payslip: paying wages stays with the employer.

  • It doesn’t break the euros down per employee: the page shows only gross pay and the net estimate for each person.

  • There is no field for union fees or other deductions. The amounts in Reports are before tax and exclude employer social contributions.

  • The page doesn’t give holiday pay or sick pay, and neither does the accountant connection.

  • Work on V days, X days and annual days off gets no compensation row, and those hours aren’t taken out of the period calculation.

  • If a break isn’t clocked, it isn’t deducted: the hours run from the start of the shift to its end.

  • There is no hour bank (TES 12 § 3, the 150-hour limit).

  • It doesn’t file to the Incomes Register (Tulorekisteri) and doesn’t make salary transfers.

  • The phone app has no Payroll page.

First you need clock-ins. If a person has none, hours and gross pay show “—”, not 0. Without a pay basis, gross pay shows “—” and the reason.
