No card is needed, and nothing is charged automatically.
A new account gets the Pro plan for 3 months with every feature included. At the end of the trial you choose Perus, Plus or Pro.
If you don’t choose, the account becomes read-only: you can view and print rosters and hours, and your data stays. Editing rosters and exporting payroll data to Procountor require a plan.

Every active employee on the account counts, each once.
A part-time or seasonal employee counts while they are active. Someone who works at several locations is still counted once.
The count only looks at active status: when someone leaves, deactivate them and they no longer count.

Only when you switch to the next size band. The change takes effect immediately.
31–60 and 61–100 employees are separate bands. When 60 is full, the 61st employee can’t be added, but everything else keeps working. Switch to the larger band on the subscription page; the difference is calculated by the day and added to the next invoice.
Over 100 employees can’t be bought online; those accounts get a quote. The trial has no bands and allows up to 100 employees.

The price of a subscribed plan does not change during the subscription period.
Price changes are announced 30 days in advance, and you can cancel before the change takes effect.

You can cancel at any time. The paid period runs to its end, and after that your data can be viewed but not edited.
In read-only mode you can print rosters, and print or save each employee’s hours statement as a PDF. You also have the right to ask for your data in a commonly used format.
In read-only mode you can’t export the payroll file for Procountor. An owner account can’t be deleted by yourself: you request deletion by email, and it is processed within 30 days.
Plana is built for places with many employees and many shifts. In a 3-month trial you have time to run several periods with your own staff before you decide.
Signing up gives you the Pro plan for 3 months, with no credit card.
If you don’t choose a plan after the trial, the account becomes read-only.

Risks
Clock-ins, corrections, approvals, proposed changes and consents are all recorded. Three files can be handed over directly: records of foreign employees, hours statements and the payroll data.
You export the records of foreign employees from the Staff page as PDF and Excel files. You print an hours statement for a month or for a period of up to 92 days. Changes to a published roster appear on the changes page.
The change history can’t be exported as a file; you can only see it on the page. Changes made to a draft leave no history.
The rules are in Plana, so you don’t have to change them. When the new TES text arrives, we update them clause by clause.
The current rules are based on the MaRa TES 2025–2028 and the Working Hours Act. Local agreement matters, such as weekly rest of 30 or 35 h, the balancing period and the notice before publishing, you change in Settings.
There is no written promise about how fast an update is made. Plana’s checks are not legal advice.
The employer.
Auto-schedule only gives suggestions, and you decide which ones go onto the roster. Every suggestion is checked, and an unlawful shift can’t be saved.
A shift that breaks the TES (orange) can be saved and published. Check Plana’s figures before you pay salaries.

For now only MaRa, the restaurant industry’s collective agreement.
A hotel’s own reception and housekeeping staff usually fall under MaRa as well. If you are not sure, ask your accountant.
The retail version is in the works and will not be sold until it is ready. Leave your email on the retail page and you get one message when it can be tried.

The database and files are in the EU (Stockholm, Sweden).
The owner, managers and the accountant can see pay; an employee sees only their own. For sick leave only the type is stored, not the reason, and the sick-leave certificate is visible only to the employee, the owner and managers.
The owner can give a manager a custom role without access to pay. Some service providers are American; transfers rely on the EU standard contractual clauses or the EU–US Data Privacy Framework.

Getting started
You can paste the employee list from Excel in one go, and rosters are made in Plana starting from the first period.
Add employees by copying rows from Excel: 9 columns, and only the name is required. When you open the account you enter the company, the location and the Monday the period starts.
If you’d rather not enter it yourself: the setup service is 390 € one-off (free with yearly-billed Pro). We enter the employees, contracts, shift types and needs, make the first roster, and go through Plana with you for an hour.
Yes: make the roster as a draft that employees can’t see.
You can run auto-schedule on a draft and print it, and the printout says draft. In the 3-month trial you have time for several periods.
When you publish, a notification is sent to employees who have shifts and use the app. After publishing, changes need the employee’s consent.
You can have us do the setup: we enter the data, make the first roster and go through Plana with you for an hour.

No, rosters are made on the web.
In the app, owners and managers get a notification when an employee volunteers to cover. A shift lead can fill open shifts, record absences, and approve clock-ins and time-off requests on the phone.
In the app an employee sees only the published roster.
Changes and cover
Record the absence, and the shift becomes open. Plana shows suitable colleagues, and you ask them with one press.
Candidates are split into three groups: volunteered, suitable and not suitable (with the reason). Those you ask get a notification and volunteer in the app. Before you approve anyone, Plana checks the working-hours limits.
Cover is sought only within the same team, not from another location. The request goes out only when you press Ask, and someone you didn’t ask can’t see the open shift. Employees’ own shift swaps are not in use yet.
Yes, but the change takes effect only with the employee’s consent. If they don’t agree, the shift stays as it was.
When you change a published shift, a proposed change goes to the employee, who answers in the app. Replacing a person is split into two proposals, and each person answers their own.
If the employee declines, doesn’t answer in time or you withdraw the proposal, the shift stays as it was. An unlawful change isn’t even put to the employee.
No. A legal violation blocks publishing.
Plana checks the whole roster once more when you publish. A roster with a shift that breaks the TES (orange) can be published.
If the data for the check can’t be read, publishing is blocked as well. The owner can declare a legal violation as emergency work, and then it no longer blocks publishing; this doesn’t apply to every violation.
Permissions and locations
Managers can by default.
The built-in manager role has the right to view pay and staff costs. The owner can create a role for you without this right.
Without the right to view pay you can’t see pay, tax cards or contracts. Exporting payroll data also requires the right to view pay.
Select both locations in their details. The check also counts their published shifts at the other place.
The period’s 15 working days, the 11-hour rest and auto-schedule take the shifts of both places into account. Several locations require the Plus plan.
While both rosters are still drafts, they can’t see each other: publish one first and then plan the other.
App and privacy
No: the restaurant can also send the roster as a link or by email, or print it for the wall.
If you install it, ask the owner or manager for the install link and the invitation link. You sign in with your phone number or email and a password. The app is free for employees. For now the app is for Android.
Without the app you can’t clock in, request time off or answer proposed changes, and you can’t see your own hours.
No. Plana doesn’t read your location.
When you arrive, you scan the restaurant’s QR code; you don’t scan when you leave or take a break. If the connection drops, the clock-in waits on the phone and is sent when the app is back online. Clocking in at arrival requires that the app has already loaded your details.
A clock-in stores the time and the device identifier.
Four: Finnish, Chinese, English and Vietnamese.
Everyone chooses the language on the sign-in screen or on the Me page. Notifications and calendar titles come in the language you chose.
The default language is Finnish, and the app doesn’t follow the phone’s language. The consent text is in Finnish and Chinese.
Hours and changes
You see the hours, but not the supplements broken down.
The My work times page lists your clock-ins by period, the hours worked and your balancing-period balance. That is also where you confirm your hours.
You don’t see the Sunday and evening supplements or any pay amounts in the app. An employee’s own hours statement is planned.
The shift stays as it was.
In the app you see the shift before and after, and the full text of the consent. Before you answer you confirm your identity again. Your answers show under Me → Consents.
Declining or not answering is not consent. Without a connection you can’t answer.
Data
A Procountor payroll data CSV, one file per month and location.
You export it from the Payroll page. Each row is one employee’s hours for one pay type in one pay period. The file has no euro amounts; Procountor calculates the totals.
The employee number must match Procountor, and the pay type codes must exist in Procountor’s pay type register. Unconfirmed clock-ins block the export unless an owner or manager overrides them with a reason. Importing the same file twice records the rows twice.
For now the export is only in the Procountor format.
With an accountant login you see the Payroll and Reports pages, and hours statements can be printed or saved as PDF. The Pro plan also has a read-only connection for accountants.
There is no integration with other payroll software.
Not Plana.
Plana provides the hours by pay type and the payroll data. The top of the hours statement says it is not an official payslip.

Pay types and access
The hours are split by pay type, and each type has its own pay type code.
In a full three-week period without the balancing system, 112.5–120 hours is additional work (×1). Above 120 hours, the first 18 hours get +50 % and the rest +100 %. Sundays and public holidays are +100 %; evening 18–24 and night 24–06 are counted separately. A shift that crosses midnight is split by Helsinki time.
The Payroll page shows only gross and net per employee, not euro amounts by type. Compensation for V and X days and a few other items are still missing.

Hours in a full three-week period without the balancing system: after 120 hours the first 18 hours get +50 %, then +100 %. An accountant can be invited on every plan. The accountant’s read-only connection belongs to the Pro plan.
An accountant sees only the Payroll and Reports pages and can download the Procountor file.
An accountant can’t see settings, staff or rosters, can’t change shifts or approve clock-ins, and can’t see tax percentages.
The employee enters it in the app themselves.
The employee enters the percentages and uploads the tax card as a PDF under Me. The take-home estimate uses the card that is valid on the pay date: the basic percentage up to the income limit, the additional percentage above it.
A manager sees on the web only whether a tax card has been given, not the percentages. The accountant connection doesn’t read tax cards.
