How it works

   Enter the employee numbers

   Enter an Employee number in each employee’s details. Without it their rows can’t be exported.

2. 2

   Confirm the hours

   The employee confirms their hours on the phone, or the owner or manager skips the confirmation by writing a reason.

   Press Export Procountor CSV

   The button is at the top right of the Payroll page, and it is disabled until the pre-export checks are green.

   Give the accountant a read connection

   In the Accounting connection section of Settings the owner chooses New connection and creates a key for the accounting firm. The connection is in Pro and read-only.

By hand and with Plana

The rules Plana watches

• Base pay and supplements are paid at least once a month. Compensation for additional work and overtime earned in three-week periods that ended during the month is paid by the 10th of the following month at the latest.

• The employer must record the hours worked and the compensation paid, employee by employee.

  Working Hours Act 32 §.

Who uses it

Owner

At month end goes through the pre-export checks on the Payroll page and downloads the file. Creates and revokes the accountant connection and invites the accountant account.

Manager

Can download the file and skip confirmations when the role keeps those rights. Can’t create or revoke the accountant connection.

Employee

Doesn’t see the file. Confirms their own hours on the phone, which is one of the conditions for exporting.

Accountant

Logs in on the web to see Payroll and Reports and can download the Procountor file. Whoever holds the connection key reads the data within the chosen scope.

What it doesn’t do

• The file has no euro amounts: Procountor works them out.

• There is no Excel export for the accountant. There is one export: the Procountor CSV.

• No other payroll software is supported: there is no Netvisor, Fennoa or Visma export.

• An export is always one calendar month and one location at a time. The employee number has to match Procountor’s employee register, and the pay type codes have to exist in Procountor’s pay type register.

• Procountor accepts the same file twice without an error, and the rows double. When the owner or a manager exports, Plana can only warn and log the export.

• V and X compensation, holiday pay, sick pay and balancing days off aren’t exported, even though the pay type codes exist.

• The connection gives approved leave periods only, not leave balances or holiday pay, and no health data.

• The connection only reads: nothing can be written or changed through it.

• The file can’t be exported from the phone app.

• Which plan do I need?

  The Procountor file is in Perus, and the accountant’s read connection is in Pro.The hours by pay type and the Hours breakdown are in Perus too.The trial (3 months) is on Pro, so the connection can be created and used during the trial. If no plan is chosen after it, the account becomes read-only.See:Pricing

• What format is the file?

  A Procountor payroll data file as a CSV.Fields are separated by semicolons, there is no header row and every row has 21 fields. A row is one employee, one pay type and one month.The file has no euro amounts: Procountor works them out from its own pay type settings. The format is Procountor’s import format, not a statutory one.See:Export Procountor CSV on the Payroll page

• Can I get Excel or another software’s format?

  No.There is one export for the accountant, the Procountor CSV. Other payroll software isn’t supported.The CSV in the Migri residence-permit package is a separate file with euro amounts. It isn’t meant for the accountant.See:Payroll and export

• Can I export when the subscription is read-only?

  No.The download is refused and the button is really disabled, but the Payroll page itself can still be viewed.In read-only mode a new connection can’t be created, but one can be revoked, and calls on an existing connection are refused. With no plan at all, the whole Payroll page turns into a locked page.See:Pricing

• What does the accountant see in the read connection?

  Hours and employee details, but no calculated gross, net or tax.Hours by location and month: classified hours, pay rows, three-week periods, balancing period balance, the count of unconfirmed clock-ins and approved absences. The figures are the same as on the Payroll page.The personal identity code and account number are given only if the owner selects them separately. • Who can create the connection, and how?

  Only the organization owner, and only on Pro.The data processing agreement is read and accepted first. The key is shown only once, when it is created, and every call is logged.A connection can be revoked at any time. A manager can’t create or revoke it.See:Accounting data processing agreement

• Can the accountant log in to Plana?

  Yes.The owner invites a member with the Accountant role by email. The top bar has only Payroll and Reports, and they can download the Procountor file.The web account sees more than the connection: gross pay and net estimates according to the subscribed plan, and labour costs.See:Payroll and Reports

• What has to be in order before exporting?

  The button is disabled until the pre-export checks are green, and a list says what is missing. When a clock-in is corrected, its confirmation lapses and it has to be confirmed again.The checks cover unconfirmed clock-ins, a missing employee number, a missing pay type code, the choices for the overtime day or week code and the meal benefit type, a lack of rows to export, and a collective agreement that can’t be priced.If even one employee’s collective agreement can’t be priced, nobody’s file can be exported.See:Export Procountor CSV on the Payroll page
