You set the accrual rule,Plana counts the leave earned.

Plana calculates each employee’s leave accrual under MaRa TES 27 § and shows it in Leave planning next to the approved leave.

Each holiday credit year gets one row: full months, accrued, taken and remaining.

When to use it

When an employee asks how many leave days they have earned, the owner has to check month by month whether they worked 14 days or 35 hours.

How it works

  1. Set the accrual rule

    In the employee’s details, choose Annual leave accrual rule: 14 days / month or 35 hours / month. It follows the contract.

  2. Approve or record leave

    The employee sends a time-off request on the phone, and the owner or manager approves it on the Absences page. You can also record leave yourself with Record leave.

  3. Open Leave planning

    In the Hours page toolbar. The leave calendar shows approved and pending leave, and the leave report lists what each person has earned, taken and has left.

  4. Open the employee ledger

    The employee ledger shows, for each holiday credit year, the full months, accrual, taken and remaining. Employees see their own figures on the phone.

By hand and with Plana

By hand

  • You count month by month whether the employee worked 14 days or 35 hours.

  • You take Sundays, church holidays, Independence Day, Midsummer Eve, May Day, Christmas Eve and Easter Saturday out of the leave days by hand.

  • You keep your own record of who has taken leave and how much is left.

With Plana

  • The accrual rule (14 days or 35 hours) and any opening balance are set once in the employee’s details.

  • Plana reads the month’s hours from clock-ins (including ones the manager adds) and from absences marked on the roster. The result is recalculated every time.

  • Approved leave is booked as taken, and Sundays and holidays don’t count as leave days.

  • A full month is a calendar month in which the employee worked at least 14 days or at least 35 hours. The contract decides which one applies.

  • Days absent because of illness or an accident count as work for at most 75 working days per holiday credit year. When accrual is based on 35 hours, the limit is counted in calendar days (105).

  • Sundays, church holidays, Independence Day, Midsummer Eve, May Day, Christmas Eve and Easter Saturday are not leave days.

  • The employer has to announce the timing of leave a month ahead where possible, and at the latest two weeks before it starts. Once announced, leave can’t be moved without the employee’s consent. Plana doesn’t check the notice period.

  • Each leave day between Monday and Friday shortens the period working time of the 112.5-hour system by 7.5 hours. The three-week period check has a matching implementation.

Who uses it

Owner
Sees in Leave planning who is on leave and when, records leave, confirms preferences in bulk and prints. Sets the accrual rule and opening balance in the employee’s details and opens each ledger.
Manager
The same web pages as the owner.
Employee
Requests leave on the phone. In the Leave and absences section of the Employment contract page they see available now, taken, remaining and the accrual rule.
Accountant
Can’t open Leave planning. The printable hours breakdown shows the leave accrual when they have access to pay data.

What it doesn’t do

  • It doesn’t calculate holiday pay or the holiday bonus.

  • It doesn’t check whether leave falls in the summer or winter leave season, whether the 12 days of summer leave are taken in one block, or whether notice was given two weeks ahead.

  • It doesn’t handle saved leave or holiday compensation when employment ends.

  • Annual days off are only an absence type (code VV). They have no ledger of their own.

  • A month with no clock-ins and no marked absences isn’t a full month. The page can’t tell that apart from days genuinely not earned.

  • The employee app shows only the two latest holiday credit years. Other years appear on the web only.

  • Only the owner and the manager can save leave as a preference on an employee’s behalf. A shift lead can’t open Leave planning.
