What three weeks cost, visible while you plan
Plana works out the period’s labor costs, overtime and Sunday hours: a draft from the roster, a period in progress from clock-ins up to yesterday. It also suggests shift moves that save money.
In the demo restaurant’s period, forecast labor costs were about 14 225 €, one person had 7,5 hours of overtime, and possible savings were 61,75 €.
When to use it
When the roster is done and waiting to be published, the owner wants to know what the three weeks will cost and who goes past 120 hours into overtime.

How it works
By hand and with Plana
By hand
You count for each person yourself who goes past 120 hours in three weeks.
You add the Sunday +100 % and the 18–24 evening supplement to the costs yourself.
You compare the roster and the clock-ins yourself, side by side.
With Plana
One row of key figures: labor costs, overtime, Sunday hours, clocked hours, unfilled shifts and violations, all against the previous period.
Labor costs are split into base hours, Sunday, evening supplement and overtime, with a row for each team.
Planned vs. clocked shows each team over or under, and how many clock-ins have no shift.
Example: the demo restaurant’s period in progress
The figures are from the demo restaurant (the employees are made up), on day 13 of the period 21.09.–11.10.2026: clock-ins up to yesterday, the roster after that. There are two teams and 10 employees. Monthly-paid employees’ base pay is allocated to the period.

- +100 %for Sunday workMaRa TES 17 § 1.
- 18–24evening supplement hoursMaRa TES 16 § 2.
Regular working time is at most 112,5 hours in a three-week period, and work above 120 hours is overtime. Both limits are drawn on the scale in By person.
MaRa TES 7 § 1 · 18 § 2.In a restaurant using the balancing system, the overtime line for a full-time monthly-paid employee is 130 hours, or 136 under a local agreement.
MaRa TES 12 § 1–2.When a Sunday shift moves to someone else, both get +100 %: the saving comes from the overtime supplement.
MaRa TES 17 § 1.A change to a published roster goes to the employee as a proposal and only takes effect once they accept it.
MaRa TES 9 §.A monthly-paid employee’s base pay is allocated to the period: regular hours (up to 112,5 h) × monthly salary / 159. The figure is marked with ≈.
MaRa TES 13 §.The 10 € minimum saving and the limit of 5 suggestions are Plana’s own thresholds, not TES figures.

Who uses it
- Owner
- Goes through the period at the computer and checks the draft before each publish. On the phone’s browser they get there from the bottom line of the home page.
- Manager
- Same as the owner, as long as the role keeps the right to see pay. Open in the planner also needs the right to edit the roster.
- Employee
- Doesn’t see Reports, and neither does a shift lead: they have no link to it.
- Accountant
- Has Reports in the top bar and sees the same figures as the owner. The action buttons are disabled, with the reason given.
What it doesn’t do
A period is three weeks (21 days), not a calendar month. Pay estimate works by calendar month, so the totals on the two pages don’t reconcile.
It doesn’t work out labor costs as a share of revenue: sales aren’t entered in Plana.
Coverage counts shifts per day, not people present hour by hour. For a team with no staffing needs set, coverage can’t be calculated.
People without a pay rate aren’t included: the total gets a ≥ and their names are listed. A figure that can’t be read is shown as text, not as zero.
Possible savings only covers shifts that haven’t started, within the same team. The evening supplement is a fixed hourly amount, so it isn’t suggested as a saving.
The page can’t be exported or printed.
The phone app has no Reports page; on a phone you open it in the browser.
